Job Purpose:
- The Admin Assistant ensures the smooth and efficient operation of the Plant Director’s office by handling administrative and secretarial tasks, coordinating travel and logistics, and managing office supplies and services. The role supports the leadership team with reporting, meeting organization, and correspondence, while also contributing to cost optimization and compliance with safety and environmental standards.
Main Accountabilities:
- Perform all the administrative & secretarial activities related to the Plant Director & lead team; manage the office premises to ensure effective and smooth operation.
- Managing the logistics of the Plant-Office employees & guests’ business trips by establishing Travel policies and procedures that include but not limited to air tickets, entry visas, domestic hotels, international hotels booking, etc. to ensure smooth operations and optimize the Travel cost.
- Preside office supplements (stationary, catering, detergents… etc.) according the company policy to guarantee appropriate availability for all items in a timely manner. Optimize the general expenses cost that are related to Office supplies, Stationary, Utilities, etc. by identifying the saving areas and setting control, audit plans and corrective/cost saving actions.
- Ensure providing an acceptable service level of hospitality & cleaning services to the main Admin building meeting rooms and ensure effectiveness of the tools (presentation tools, video conference room, conference calls, etc…) and follow up closely the office boys, delegate & driver on a daily basis.
- Provide the daily flash highlights on operation performance, weekly meeting review actions list, Monthly MCM report on both Operation & Finance. Collect the KPIs data of all industrial departments for consolidation and usage during Daily Flash reports, weekly management review, monthly highlights, monthly closing results review, & business meeting.
- Support Industrial Director & lead team to organize and plan their vacation, missions, travel agendas. Deputizing, and delegating work to managers during the absence of the industrial director. Also, manage the filing system related to the incoming and the outgoing correspondence.
- Coordinate & follow up on Safety & Environment audits and correct the non-conformities, make sure to reach the standard phase that maintain the good level of performance.
Education, Experience and Qualifications:
- Bachelor degree in Business Administration or equivalent
- 3-5 years of experience in an administration / executive assistant / PA role
- Excellent command of English
- Good command of French language is a plus
